How to Create a SARS-Compliant Tax Invoice in South Africa

Every VAT-registered business in South Africa is required to issue proper tax invoices. Getting this wrong can lead to penalties from SARS and lost input tax claims for your clients. Here's everything you need to know.

What Makes a Tax Invoice SARS-Compliant?

Under Section 20 of the Value-Added Tax Act (Act No. 89 of 1991), a valid tax invoice must contain specific information. Missing any of these elements means the invoice may not be accepted by SARS.

Required Information on a Full Tax Invoice

For supplies exceeding R5,000 (inclusive of VAT), your invoice must include:

  • The words "Tax Invoice", "VAT Invoice", or "Invoice"
  • Your business name, address, and VAT registration number
  • The recipient's name, address, and VAT number (if they are VAT-registered)
  • An individual serialised invoice number
  • The date the invoice was issued
  • A full description of the goods or services supplied
  • The quantity or volume of goods or services
  • The value of the supply excluding VAT
  • The VAT rate applied (currently 15%)
  • The total VAT amount charged
  • The total amount payable including VAT

Abbreviated Tax Invoices

For supplies of R5,000 or less (including VAT), you may issue an abbreviated tax invoice. This still requires your business details, VAT number, invoice number, date, description, and the total inclusive of VAT.

Common Mistakes to Avoid

  1. Missing VAT registration number — This is the most common error. Without it, your client cannot claim input VAT.
  2. Incorrect VAT calculation — Always calculate VAT at the correct rate. The formula is: VAT = Price excluding VAT × 15%.
  3. No sequential invoice numbering — SARS requires each invoice to have a unique, sequential number for audit purposes.
  4. Missing recipient details — For full tax invoices, the buyer's details are mandatory.
  5. Issuing invoices late — Tax invoices must be issued within 21 days of the supply date.
